How Fast Should I Respond to a New Lead?
If you take 30 minutes to call a new web lead instead of 5, your odds of qualifying that lead drop 21 times, according to the InsideSales.com/MIT Lead Response Management study. Here's the data, and the fix.
The 5-minute rule (and what's actually happening at 5 minutes)
The InsideSales.com/MIT study (Dr. James Oldroyd, 2007) looked at three years of data from six companies: more than 15,000 web leads and over 100,000 call attempts. Calling within 5 minutes instead of 30 made the odds of qualifying the lead 21 times higher. And it keeps dropping: within the first hour, the odds of contact fell more than 10 times (same study).
I'd argue it matters even more for local service businesses. A homeowner with a burst pipe isn't shopping โ they're picking the first plumber who picks up. A bride researching DJs is often comparing several vendors at once. Whoever responds last is whoever doesn't get the booking.
Why every service business is losing leads to slow response
Here's what the research shows:
- Of 2,241 US companies sent a test web lead, only 37% replied within an hour. Companies that replied took 42 hours on average. (Harvard Business Review, 2011.)
- Only 42% of consumers leave a voicemail when a business doesn't answer, and 21% immediately call another business. (CallRail survey of 1,000 US consumers, 2025, vendor data.)
- 82% of consumers say they'll call a competitor if a business doesn't answer. (CallRail, 2025, vendor data.)
The hard part: most owners think they're responding fast. They feel responsive. But if a lead waits hours for a call back, it's way past the cliff.
The fix isn't "answer your phone faster"
You can't be on the phone 24/7. You're running a business. You have customers in front of you. The fix is to make sure someone or something responds within minutes, every time.
Tier 1: AI voice agent or 24/7 answering service
The AI answers, captures the lead, asks the qualifying questions you'd ask, and either books the appointment directly or texts you the details. Prospect feels heard. You get notified with full context.
Tier 2: Missed-call text-back
Any call you miss gets an automatic SMS right away: "Sorry I missed your call โ I'm on a job site. Quick text: what do you need? I'll get back in 30 min." In 14,354 missed-call texts sent for 192 home service businesses (January to July 2026), 32.7% got a reply (99 Calls, vendor data).
Tier 3: Live chat with response SLA
If you have a website with traffic, live chat (even AI-powered) with a fast response captures the people who don't want to call.
What this is worth to your business
Run the math with your own numbers: how many leads you get a week, how many you close now, and your average job value. Then ask what happens if more of those leads hear back from you in minutes instead of hours.
The math works the same for almost any service business. The only thing changing is the multiplier.
